The Role

The Marketing Assistant/Office Administrator is a combined role which encompasses all office/marketing admin duties and liaising with the marketing agency responsible for delivering all marketing services for the Centre. This role is fulltime however we will consider flexible arrangements/Job sharing. The role will be 5 over 7 days with some weekend work involved at times.

The Person

For this position, you will need to have:

· 3 plus years of office administration experience with a marketing qualification or relevant marketing experience.

· Ability to work in a fast-paced office environment with changing priorities

· Have a can-do attitude with exceptional communication skills

· Attention to detail with results focused attitude

· Fluent in written and spoken English

· Proficient in Microsoft office packages (Excel, PowerPoint, Word)

· Knowledge of marketing digital tools and techniques

· Have a proactive and Innovative approach and ability to work on own initiative

  • Manage & liaise with outsourced Marketing agency who are responsible for delivering the Centre’s marketing services.
  • Make sure Marketing agency meets agreed Social Media timelines and targets.
  • Keep website up to date.
  • Approve artwork and invoices in conjunction with Centre Manager.
  • Assist in managing company social media platforms.
  • Assist with organizing promotional events
  • Monitor competitors marketing activities
  • Responsible for tendering printing works.
  • Tenant communication – Memos/Letters/Newsletters


  • Answering switchboard when required - dealing with enquiries/transferring calls to the relevant person or department.
  • Opening post- Stamping/dating/scanning to head office if required.
  • Accounts Payable- Receiving invoices via post or via email. Coding the invoices to the correct department and getting signed off by management before posting for payment.
  • Follow up on any invoice queries.
  • Responsible for monitoring Centre’s main email address. Deal with any queries or complaints promptly.
  • Ordering stationary & consumables for office- Photocopier maintenance.
  • Submitting meter readings (Electrical & Gas)
  • Report and resolve all IT issues.
  • Formulate weekly and monthly Management reports.
  • Manage some service contracts.
  • Manage Centre’s Petty Cash Petty.
  • Provide monthly wage timesheets for payment.
  • Provide weekly customer gift card reports and liaise with gift card company on all matters.
  • Bank lodgments
  • Filing
